Short answer
Many property enquiries on WhatsApp start with a short message such as "Is this still available?" To handle them well, ask for the same few details every time: buy or rent, area, budget, property type and preferred timing. Then pass the chat to the right agent with that summary, so the customer is not asked the same questions twice.
Why the first message usually says so little
People often write to an agency from a listing, a sign or a forwarded post. The first message may be a single line, and it may not say which property they mean. If an agent has to start from zero, the conversation can be slow for both sides. A short, consistent set of questions makes the second message more useful than the first.
What to capture from each enquiry
| Detail | Why the agent needs it | A simple way to ask |
|---|---|---|
| Buy or rent | Decides which agent and which listings | "Are you looking to buy or to rent?" |
| Area | Narrows the search | "Which areas do you prefer?" |
| Property type | Apartment, house, land, commercial | "What type of property do you need?" |
| Budget range | Avoids showing what does not fit | "What budget range should we keep in mind?" |
| Timing | Shows how soon the customer may decide | "When would you like to move?" |
| Name and how to reach them | Lets the agent follow up | "May we have your name, and is WhatsApp the best way to reach you?" |
Ask one question at a time and stop when the customer wants a person. Do not ask for documents or ID numbers in the first chat.
What to leave to an agent
- Availability and price. They change. Unless your listing information is kept current, let an agent answer.
- Negotiation and offers. These need judgement and authority.
- Contracts, fees and legal questions. Refer these to your team or a qualified adviser.
- Viewing confirmations. Whoever owns the property or the diary should confirm the time.
A clean hand-over in four steps
- Summarise. Write the details above on the customer's record, in one place the agent will look.
- Assign. Give the enquiry one owner and one next step, such as "call back" or "send three options".
- Tell the customer. Say who will contact them. Avoid promising a time you cannot keep.
- Review weekly. Read a few chats, fix any answer that was wrong and add the questions that keep coming back.
A sample first reply
Change the brackets to suit your agency.
"Hello, thank you for writing to [agency name]. To help you better, are you looking to buy or to rent, and in which area? A member of our team will follow up from [time]."
One WhatsApp rule to remember
At the time of writing, Meta's rules say a 24-hour customer service window opens when a customer messages you, and once it closes you can send only pre-approved template messages. See Meta's pages on service messages and the customer service window and template fundamentals. Rules change, so check them before you plan follow-ups.
Where Growme fits
Growme is an AI workspace and CRM platform. WhatsApp is the first channel. The AI employee answers in Arabic or English from the information you give it, such as your services and frequently asked questions, introduces itself in the chat as the AI assistant, and hands the chat to your team when it does not know the answer or when the customer asks for a person. Your team can switch the AI off in any chat. It can be set up to ask for details like those above, but what it actually asks depends on how you set it up, so read its first chats before you rely on it.
- Conversations are saved on the customer's record, and tasks with an owner and a next step are created from them.
- When a customer agrees a time for a viewing in the chat, the AI pencils it in as tentative. A member of your team confirms it, and then the customer receives the invitation.
- Voice notes are transcribed. WhatsApp calls are answered by the AI, with a transcript and a summary. Ordinary phone lines are not available.
On the Pricing page: KD 50 a month covers one WhatsApp number, five users and an AI employee, each extra user is KD 10 a month, and each extra WhatsApp number is KD 10 a month. AI work is metered in man-hours and billed on top of the plan at KD 5 per man-hour. Meta's WhatsApp message fees are charged by Meta and are not part of the plan. See also Growme for real estate.
Frequently asked questions
Should an AI tell a customer that a property is still available?
Only if the listing information you give it is kept up to date. Availability and price change often, so a careful start is to let the AI answer from the details you provide and hand over any question about availability or price to an agent.
Can the AI arrange a viewing?
In Growme a time agreed in chat is pencilled in as tentative. A member of your team confirms it, and then the customer receives the invitation.
Will customers know they are talking to an AI?
They should. In Growme the AI employee introduces itself as the AI assistant in chat, and on a call it says it is an AI if the caller asks. Make it easy to reach a person.
Can we message a customer who wrote to us last week?
At the time of writing, Meta's rules allow only approved template messages once the 24-hour customer service window has closed. Read Meta's current documentation before you plan any follow-up.
What about calls from property seekers?
Growme answers WhatsApp calls with the AI and keeps a transcript and a summary. It does not answer calls on an ordinary phone line.
