Short answer
At the time of writing, the WhatsApp Business app is a free app for one small team handling chats by hand. The WhatsApp Business API, called the WhatsApp Business Platform, is the official interface that software such as a CRM connects to, so several staff can share a number and automation or AI can be added. If you need shared access, integrations or automated replies, you need the API through a provider.
The two options in plain terms
| WhatsApp Business app | WhatsApp Business Platform (API) | |
|---|---|---|
| What it is | An app from WhatsApp for phone and desktop | An interface used by software providers |
| Where you work | The WhatsApp app itself | Your CRM or shared inbox |
| Team use | Built for a small team, working on phones | Many agents through one inbox in the software |
| Automation | Basic features such as a greeting, away messages and quick replies | Chatbots, AI assistants and workflows through software |
| Cost model | Free to use | Provider fee plus Meta's per-message fees |
| Messaging many customers | Basic tools | Approved template messages to customers who agreed to hear from you, under Meta's rules |
| Best for | Owner-run businesses with low message volume | Teams, clinics, dealerships and shops with steady enquiries |
The Business app column describes the app at the time of writing. We give no device limits or feature counts because Meta changes them. Check the current details in the WhatsApp Help Center before you decide.
How messaging is charged on the API
Meta charges per message and publishes its rate card. Rates depend on the message category, for example marketing or utility, and on the recipient's country, and Meta updates them over time. Older articles and some vendor pages describe earlier models, so always check Meta's current pricing page. Your provider may add its own platform fee.
Which should you choose?
Choose the Business app if:
- One or two people answer chats from a phone.
- You receive a small number of messages a day.
- You do not need to connect WhatsApp to other systems.
Choose the API through a provider if:
- Several staff need to answer from the same number.
- You want every chat saved against a customer record, which is what a CRM does.
- You want automated replies, reminders or an AI assistant.
- Messages arrive outside working hours and nobody can reply.
What changes when you move to the API
- Your number is registered with the platform. Ask your provider how your existing chats and the app are handled before you migrate, and check Meta's current rules on using one number in both.
- When a customer has not written to you in the last 24 hours, you reply with a Meta-approved template.
- You need customers' permission to send them messages. Follow Meta's business and commerce policies.
- Meta may ask you to verify your business for higher limits. Check the current requirements in Meta's documentation.
Where Growme fits
Growme is an AI workspace and CRM platform. WhatsApp is the first channel. It works on the API side: you connect your own number to the official Meta platform, and you get a shared inbox, customer records, an AI employee that answers in Arabic or English, and a hand-over to your team. If your number is already used in the ordinary WhatsApp Business app, ask us before you connect it, because it has to be moved to the platform. Plans are on the Pricing page, and Meta's message fees are separate.
If you are not sure which option suits you, count how many messages you answer per day and how many people are involved. That usually decides it.
Frequently asked questions
Can I use both the Business app and the API?
It depends on Meta's current rules for the same number. Ask your provider and check Meta's documentation before you migrate. At Growme, if your number is already used in the ordinary WhatsApp Business app, ask us before you connect it, because it has to be moved to the platform.
Is the API free?
Not entirely free: Meta charges per message for most business-started messages, and providers charge for their software. See Meta's rate card for current rates.
Do I need a developer?
Not usually. Providers offer ready-made inboxes and CRMs, so setup is a guided process. Steps differ by provider.
Is automation safe for my number?
Automation through the official platform follows Meta's rules. Unofficial tools that automate the normal app may break WhatsApp's terms and put your number at risk.
Will customers know it is an AI?
They should. Be transparent and offer an easy way to reach a person. In Growme the AI employee introduces itself as the AI assistant in chat, and on a call it says it is an AI if the caller asks.
